JOB DESCRIPTION
Line Management

  •  The Club Secretary reports to Commodore and operates as requested by the Flag Officers.
  •  The Club Secretary leads the BSC Staff Team, supported by the Accounts Administrator,     Administrative Assistant, Boatswain and Club Steward. 
  •  (In their turn, the Boatswain supervises the work of the Launch Driver/Handyman and the Club Steward supervises the Caterer, Bar Staff and Cleaners.) 
  •  Principal Objectives
  •  Efficient management of the overall operation of the Club with the use of IT systems to achieve this, in line with strategy agreed with the Flag Officers.
  •  Supervision of members of staff and their job performance in line with their job objectives.
  •  External promotion of the Club - raising its profile to attract and retain Members and attract RYA/external funding.
  •  Secure sponsorship income and advertising revenue for the Club.
  •  Provide assurance for the Flag Officers and Members that Club activities are compliant with all relevant legislation, Codes of Practice, RYA requirements and commercial best practice.


Personal capabilities and experience required :

  •  A mature approach to all interactions with Members, Flag Officers and External Contacts.
  •  Experience of managing a team with a broad range of operational skills.
  •  Ability to delegate, support and review staff performance to optimise their contribution to the overall success of the Club.
  •  Ability to understand and operate IT and other systems used by the Club to the best advantage.
  •  Knowledge of sailing as a sport.


Duties

  •  Supervisory
  •  Management and day-to-day supervision of the Club Staff in their roles.
  •  Recruitment of staff in liaison with Commodore.
  •  On a quarterly basis, review job performance of individual members of staff (Accounts Administrator, Administrative Assistant, Boatswain and Club Steward) to identify areas of success and shortcomings, and institute measures for continuing development. Maintain a proper record of these reviews in the relevant personal files. The Club Secretary should assist the Club Steward and the Boatswain with reviewing their Staff.
  • In liaison with Rear Commodore House and the Club Steward, oversee the management of the Franchise Caterer and set Bar and Restaurant hours. Oversee administration of private bookings of Club facilities.
  •  Actively promote a positive climate for staff communications and teamworking. 
  • In liaison with Rear Commodore Finance and Accounts Administrator, manage the financial performance of the Club in line with Budget.

Manage the IT Systems used throughout the Club, including:

  •  identification of additional/replacement hardware and software
  •  presentation of proposals for upgrades and
  •  routine useage of the Club IT Systems.
  • Oversee maintenance and use of Club Premises in order to enhance benefits to the Membership and to comply with terms of the Club's Lease.  In liaison with Rear Commodore Planning, appoint external contractors and monitor and maintain records of their work.
  •  Assist Rear Commodore Planning with advance planning of building maintenance schedules.
  •  Assist Rear Commodore Planning in negotiations with the Landlord and advance planning for major projects and smaller-scale maintenance work.Oversee maintenance and use of Club boats and capital equipment.
  •  Negotiate Club Insurances and claims - RYA Combined Club Insurance, Directors & Officers, Fidelity Guarantee, vehicles.
  •  Undertake formal roles as follows:  RYA Principal, Health and Safety Officer, Fire Officer, Water Safety Officer.  Ensure that routine checks are carried out in respect of fire drill, fire extinguishers, fire alarms, emergency lighting and security alarms & equipment.
  •  Ensure compliance with Data Protection, Performing Rights and Bar Licensing requirements.
  •  Oversee the operation of Training in line with RYA 'Guidelines for Recognition', including compiling an up-to-date list of approved trainers.
  •  Set the annual programme and course fees for training courses and prepare annual budget in liaison with Rear Commodore Finance.  Agree additional courses in response to demand and set course fees.
  •  Oversee provision of week-by-week training course details - attendees and trainers - to the Boatswain.
  •  Provide a schedule of resources available to support dinghy racing as a key input to the process of setting the sailing programme for the calendar year ahead.
  •  Liaise with other Harbour interest groups regarding opportunities for hire of Club facilities.
  •  Identify promotional opportunities for the Club, supervise bookings for advertising campaigns and exhibition space and arrange distribution of Club promotional literature.
  •  Co-ordinate solicitation of Sponsorship Support for the Club.
  •  Manage the production of documentation/communications regarding the Club Annual General Meeting.
  •  Manage record-keeping with regard to staff and administration, including Companies House Returns and bank records of Club Directors.
  •  Attend and minute Executive Meetings.
  •  Normal working times
