JOB DESCRIPTION
Clipper Ventures are recruiting a suitably qualified, experienced and motivated person to undertake the role of Race Manager, to look after over 600 crew whilst in race stopovers and play a key part in the race organizing team.

The Clipper Race runs on a two year cycle. This means that each year there is a race start or a race finish. During the race, which lasts approximately 12 months, the yachts stop at as many as 16 or 17 locations around the world.

When the race is running, the Race Team travels to the various stopovers around the world, arriving a few days before the yachts to prepare for their arrival and leaving a few days after the yachts to finish any outstanding tasks.

During the intervening year when the race is not running, the Race Team are preparing for the next race including re-fitting the yachts, training crew, seeking supplier and city sponsors and selecting skippers.

The Race Manager reports directly to the Deputy Race Director (and in turn the Race Director) and is responsible for the preparation, planning and the day to day running of the sailing and on the water aspects of the Clipper Round The World Yacht Race.

Skills/Characteristics/Experience
The successful applicant shall:

  •     Be highly organised and self motivated
  •     Be willing to be flexible and have a go at anything
  •     Ability to work on own initiative and on your own
  •     Have excellent interpersonal skills
  •     Have experience dealing direct with customers face to face and on the telephone
  •     Ability to deal fairly but firmly with crew members
  •     Ability to provide reasoned and practical advice to race skippers to help them resolve issues
  •     Have a fun and outgoing personality
  •     Excellent IT skills (databases, MS Office, etc)
  •     Be presentable in front of crew, sponsors and other customers
  •     Be able to work under pressure and when tired
  •     Be willing to travel, work away from home for up to 8 weeks at a time, work long hours, weekends and bank holidays
  •     Command the respect of the crew
  •     Ability to plan and create budgets and then keep to them
  •     Ability to negotiate with sponsors and suppliers
  •     Above average level of medical knowledge
  •     An in depth understanding of the Clipper RTW Yacht Race would be beneficial
  •     Having an understanding and experience of sailing, sailing yachts and their crew would be beneficial


Tasks

Due to the nature of the race it is impossible to specify every task that the successful applicant will undertake during the race and in the intervening year.

The main task will be to support the Race Director and Deputy Race Director in undertaking their roles.
Race Manager basic tasks shall be:-

  •     Organising and managing crew in race stopovers, including but not limited to:
  •     Ensure that all immigration arrangements for crew in stopovers are in place
  •     Managing crew lists (crew leaving/joining/visas, etc)
  •     Handling any ad hoc crew issues - crew personal issues, medical issues, etc
  •     Crew Health & Insurance issues - finding appropriate medical care, liaising with insurance company, ensuring signed off fit to rejoin
  •     Welcoming joining crew & checking their documentation (passports, visas, outstanding insurance/medical/financial issues)
  •     Organizing refresher sails for joining crew
  •     Preparing presentations for crew briefs (prior to and during the RTW race)
  •     Victualing (provisioning) - setting budgets, handling all expenses, managing budgets, finding supermarkets & places for crew to pack food (where possible), handling corporate credit card issues
  •     Supporting/organizing the Race Skipper recruitment process
  •     Preparing documentation and presentations for skipper briefs
  •     Supporting skippers - pastoral care, admin issues, expenses
  •     Integral member of the Race Office Team, to include tasks such as:
  •     Communications with yachts at sea including race schedule emails (every 6 hours)
  •     Fully responsible for liaising and complying with all local immigration, customs, health, port requirements on behalf of the race yachts, skippers and crew
  •     Welcome ceremonies for yachts when arriving in port
  •     Incident management
  •     Secretary to the Race Committee
  •     Prepare and maintain all race documentation - Notice of Race, Sailing Instructions,
  •     Course Instructions, Incident Management Plan, SOPs
  •     Ensuring that all official and race documentation is completed on time in stopovers (race declarations, pre-race declarations, rig checks, safety checks etc)
  •     Organising and assisting at crew and sponsor events in race stopovers (prize giving's, social events, etc)
  •     Work closely with the UK based elements of the race team during the race and in the preparation for the race
  •     Answering the phone when working in the office and dealing with crew enquiries
  •     Travelling with the race team to all the stopovers
  •     Working at boat shows promoting the Clipper Race
  •     Anything else that the line manger reasonably specifies

Working hours, Travel and Working Abroad

By its very nature, whilst the race is running this role will require extensive worldwide travel, a considerable amount of time working aboard and the need to work unsociable hours/days including some nights, weekends and bank holidays when in the UK and abroad.

The successful applicant will be expected to attend all of the race stopovers over a 12 month period and maybe asked to do additional travelling in the case of unforeseen circumstances. Typically this will mean working abroad for up to 8 weeks at a time and spending approximately 7 - 8 months during the 12 months race period away from home. Potential candidates are asked to seriously consider if this is practical for them before applying.

Terms of Contract

  •     The position is full time and permanent based at our Gosport HQ (when not away)
  •     The applicant will be granted 25 days holiday per year (see note 1) + the statutory English bank holidays.
  •     Depending upon experience the successful applicant will be paid between £30k - £32K /annum, paid monthly in arrears.
  •     There will be a 6 month probationary period, with reviews held at 3 months and 6 months.
  •     3% pension contribution to company scheme

Note 1: Due to the timing of the race it is not always possible to take this full entitlement in a race year. In this case those days of holiday accrued but not yet taken will roll over to the next year with an expiry time limit.
